In January 2025, electronic invoicing was introduced in Germany for B2B transactions. A transitional period allowing paper invoices applies until the end of 2026. What is an e-invoice?

An e-invoice is a digital invoice in a special format. Unlike a conventional PDF that needs to be read and typed manually, an e-invoice contains data in a way that accounting software can automatically recognize and process it. This makes the invoicing process more efficient, faster, and reduces errors.

A regular PDF is not an e-invoice.. A real e-invoice complies with the EN-16931 standard and contains structured XML data that is machine-readable. Only then can it be processed automatically by accounting software. Formats like ZUGFeRD or XInvoice meet these requirements. Without an embedded XML file, a PDF is merely a visual document without electronic validity.

Theoretically possible with workarounds, but Word and Excel do not generate machine-readable XML data according to the EN-16931 standard on their own. With easy-e-invoice it is much easier: the WYSIWYG editor works as usual, but automatically generates the structured data in the background.

You have the choice: you can either create a conventional PDF free of charge or generate a modern e-invoice in the ZUGFeRD format using easy-e-invoice. To give you the opportunity to share your valuable feedback, creating e-invoices is currently completely free. After the testing phase, we will offer the creation of individual e-invoices for €1.49. No, easy-e-invoice does not offer GoBD-compliant archiving. The legal obligation to retain created e-invoices lies with the user. To assist with this, the software provides a SHA-256 hash value of the generated XML file. Users must ensure that the files are transferred to a suitable archiving system and preserved unchanged in their original state.
Yes, that is possible. For generating an e-invoice with easy-e-invoice, you can either use a regular tax number 123/456/78900 or a VAT identification number DE123456789. Obtaining a VAT identification number does not automatically make you liable for VAT or affect your small business status under § 19 (1) of the German VAT Act (UStG).
